Malaysians love WhatsApp. For many customers it is the preferred way to ask about prices, availability and appointments. Yet many businesses still handle WhatsApp enquiries from one shared phone, reply hours later and keep no record of who asked what.
When you are paying for every lead through ads, slow follow-up is the most expensive problem in your marketing. The fix is a simple combination of a CRM and WhatsApp automation.
Why speed to lead matters
An enquiry is most valuable in the first few minutes, while the customer is still thinking about the problem. If they wait hours for a reply, they have usually contacted a competitor, found an answer elsewhere or lost interest. Replying first is one of the simplest ways to win more of the leads you already pay for.
What to automate (and what not to)
- Automate: an instant acknowledgement, answers to common questions, appointment booking, reminders and follow-ups for leads who go quiet.
- Keep human: pricing negotiations, complaints and anything that needs judgement. Automation should hand over to a person smoothly.
A simple lead journey
- Minute 0: a lead submits a form or clicks to WhatsApp. The CRM creates a contact with the lead source.
- Minute 1: an automated WhatsApp message thanks them, confirms what they asked about and offers a booking link.
- Minute 5: the lead is assigned to a salesperson, who gets a notification.
- Day 1 and Day 3: if there is no reply, a polite follow-up with useful information is sent.
- Day 7: the lead is marked for a personal call or moved to a longer email nurture.
Use the official WhatsApp Business API
Automation at scale should run on the official WhatsApp Business API through an approved provider. It supports opt-in, approved message templates and multiple team members on one number. Unofficial bulk-messaging tools risk getting your number banned and can breach PDPA requirements.
Respect consent and PDPA
Under Malaysia's Personal Data Protection Act 2010, you should tell customers how their data will be used and get consent before sending marketing messages. Add a clear consent checkbox to your forms, honour opt-outs immediately and keep data access limited to people who need it.
Automation should make every customer feel answered, not chased.
Close the loop with your ads
Once leads and outcomes live in your CRM, send that data back to Google Ads and Meta as offline conversions. The platforms then learn which audiences produce customers, not just form fills, and your cost per sale falls over time.
